Privacy Policy
Ingram Heirloom Co. (operated by Ingram Studio LLC, Olive Branch, Mississippi) respects your privacy. This policy explains what we collect through ingramheirloomco.com, why we collect it, and how we handle it.
Information we collect
We collect information you choose to send us, including:
- Contact form: name, email, optional phone number, and your project description.
- Project intake: the same contact details, project preferences (type, size, wood, finish, timeline, budget), notes, and any inspiration photo or link you provide.

Commission portal: if we open a private portal for an
accepted estimate, we store your name, email, piece specs, progress stage,
and shop notes so you can sign in with a short-lived magic link (no password).
Session tokens are kept in your browser for that visit only
(
sessionStorage). - Restaurant & food service quotes: name, business name, email, optional phone, items and quantities of interest, and your message. If you enter your email on that page, we may look up only your loyalty tier (confirmed order count and next discount percent) so we can show accurate pricing. When an order is confirmed, we keep order history (items, optional totals, and discount applied) so loyalty pricing (15% / 10% / 5% on the first three confirmed orders) can be applied correctly.
- Commercial / for-business inquiries: name, business name, email, optional phone, piece type or starting point, optional headcount or size and timeline, and your message. We keep inquiry history in our shop systems so we can follow up with a quote or open a commission portal when work is accepted — there is no loyalty or wholesale pricing ladder for commercial work.
- Technical data: standard server and security logs (for example approximate IP address, user agent, and timestamps) used to operate and protect the site, plus privacy-oriented page-view analytics via Cloudflare Web Analytics (no advertising cookies).
How we use information
- To respond to inquiries and discuss custom furniture commissions.
- To respond to restaurant and food-service quote requests and apply loyalty pricing on confirmed orders.
- To respond to commercial and workplace furniture inquiries and discuss custom commissions.
- To generate an internal project brief and a non-binding ballpark estimate (including limited use of Amazon Bedrock AI to help structure that brief).
- To email you and our shop about your request.
- To operate the commission portal (magic-link sign-in, progress updates, delivery/shipping details you or the shop record for fulfillment, and related notifications).
- To keep the website secure and working reliably.
We do not sell your personal information.
AI-assisted intake
If you use Start Your Project, images and text you submit may be processed by Amazon Web Services (including Amazon Bedrock) solely to help describe the project and produce a ballpark range for our review. Outputs are estimates only; final pricing comes from Ingram Heirloom Co. after design review.
Who we share with
We use trusted processors to run the site and email: Amazon Web Services (hosting, storage, email via Amazon SES, and AI processing where applicable) and Cloudflare (Web Analytics). They process data on our behalf under their terms. We do not share your information with unrelated third parties for their marketing.
Retention
- Inquiry emails are retained in our inbox as needed to serve your request.
- Restaurant quote and commercial / for-business inquiry records (contact details, request contents, and related shop notes) are kept in our shop systems while useful to fulfill quotes, loyalty order history (restaurants only), or commissions, and for a reasonable period afterward for service follow-up. Commission records may also include shipping addresses, phone numbers, and billing notes entered by the shop for delivery.
- Uploaded inspiration images are stored temporarily (raw uploads typically expire within about one day; processed copies within about 30 days) unless we keep a copy in email correspondence about your project.
- Commission portal records are retained while the project is active and for a reasonable period afterward for service and care follow-up; magic-link tokens expire within about an hour.
Your choices
To access, correct, or ask us to delete personal information you sent through the site, email hello@ingramheirloomco.com. California residents may also request to know or delete personal information we hold about them, subject to applicable law.
Children
This site is intended for adults interested in commissioning furniture. We do not knowingly collect information from children under 13.
Changes
We may update this policy as the site evolves. The “Last updated” date above will change when we do.
